The City of Grapevine is soliciting Proposals for an annual contract for Christmas lighting and décor with installation and maintenance services as described in the bid specifications. The contract will be for an initial one-year period with options to renew for nine additional one-year periods. The contract will be awarded to the proposer who provides the services to the City of Grapevine as determined by the evaluation criteria stated in the bid in accordance with the provisions of the current Texas Local Government Code Title 8. The intent is to award a primary annual contract to one vendor. The annual contract start date will be sometime after City Council approves the award which will be in October 2023. All questions regarding the terms, conditions or specifications of this bid must be submitted by 10:00 a.m. September 21, 2023, online through the eBid system. Proposals are due prior to the closing date and time. The proposal closing date and time is September 27, 2023, at 2:00 p.m. local time. Responses received after the above time will not be permitted. Submit your proposal electronically through the eBid Procurement system and include all required document submittals. Vendors should have a minimum of five years of experience in providing Christmas lighting and decor services as specified in the bid specifications. Suppliers with less than five years' experience will not be considered responsive. Public bid openings are suspended at this time due to the Service Center closure at 501 Shady Brook Drive. All bid openings will be completed on schedule and witnessed by Purchasing staff to ensure all procurement statutes, policies and state laws are followed.
