PURPOSE: The purpose of this Request for Proposal is to establish a competitive contract for the purchase for, but not limited to the purchase of: • Dishwashing Chemicals • Sanitizers • Floor Cleaners • Other Cleaning Materials for Plano Independent School District (Plano ISD) Food and Nutritional Services (FANS). A listing of specific items to be bid upon is provided with this solicitation. In order for the proposal to be considered, installation of dispensing units, rinse injectors and chemicals must be provided. Dispensing units and rinse injectors must be provided at no extra expense to Plano ISD for each location site. Dispensing units and rinse injectors must be installed prior to start of school year, August 2021. Dates for installation will be given at the time of award. ANNUAL EXPENDITURE: The estimated expenditure for this contract is approximately $150,000.00 per year. However, this estimate should not be construed to be a guarantee of either minimum or maximum since usage is dependent upon actual needs and available funding. This estimated expenditure may be exceeded by 10% annually. TERM: This proposal shall remain firm from July 1, 2021 through June 30, 2022, with the option to be renewed for three (3) additional years, in one (1) year increments, provided all prices remain firm and both parties agree. If there is an extreme increase in market conditions, the successful bidder may request in writing a price increase from the current bid price for the extended year. Proof of change in market conditions must accompany a request for price increase. Initial Contract Period: July 1, 2021 - June 30, 2022 Contract YR2 (Option) July 1, 2022 - June 30, 2023 Contract YR3 (Option) July 1, 2023 - June 30, 2024 Contract YR4 (Option) July 1, 2024 - June 30, 2025 Any new Plano ISD School Sites/Plano ISD Facilities opening during this contract period will be included in the terms and conditions of this contract. Plano ISD reserves the right to purchase, throughout the contract period, new/promotional items as construed under the Terms, Conditions and Scope of the RFP. Any additional items that samples are requested, submitted, evaluated, and approved by FANS throughout the school year for District usage will be added as a part of this contract under the same terms and conditions. Estimated quantities will be provided for a negotiated price, all pricing must include credits, rebates and discounts.
