Conference requirements for period of 4 - 10 February 2022
- Lodging Rooms required:
Contracted Rooms:
- 10 rooms – Check in 6 February – Check out 10 February (4 nights, 40 room nights)
- 3 suites – Check in 6 February – Check out 10 February (4 nights, 12 room nights)
Blocked Rooms
- Must be able to block rooms and provide online booking code for conference attendees as follows:
35 rooms – Check in 6 February – Check out 10 February (4 nights, 140 room nights)
- Conference meeting space:
- Required Sunday (set up of equipment) through Wednesday (6 - 9 February 2022)
- Sufficient space to provide U shaped table to seat 3x personnel at base of table, 7x seats per side of table
- 2x monitors to display Russian and English language presentations simultaneously
- Space to provide tabled seating for minimum of 175 personnel spaced laterally to U shaped on both sides of table
- Sufficient space in conference venue for above requirements and two translation booths and support equipment / personnel at rear of conference tables
- Draping or temporary partition to mask translation booths from audience view
- Refreshments / snacks set up outside of conference space with pipe & draping
- 3x tables set up outside of conference space doorway for registration, 2 tables set up with pipe and drape to facilitate and access control
- Elevated platform in front of conference room with podium / podium microphone and table seating for 3 on each side of podium (6 total seats)
- Pipe and draping for all conference area spaces above
- Authorization for private security to restrict access to conference space areas, to include hallways, to conference guests and hotel staff only
- Breakout rooms:
- 1x breakout / storage room from 4 – 10 February
- 1x executive level board room with seating for 16 (8 per side) on 9 February
- 1x executive level board room with seating for 8 on 9 February
- 1 breakout room with seating for 20 on 9 February
- Audio Visual requirements:
- Podium / with podium microphone
- 2x projectors package for use with monitors
- Stand-alone monitor in rear of conference room to display agenda and administrative information
- Must have onsite AV technical expert in case of problems/breakdown of equipment
- Must be able to create and stage conference step and repeat banner minimum 10’x12’ using client-provided graphic
- Meals requirements:
- Must be able to provide breakfast and lunch meals as conference attendees will have limited transportation during conference hours (0800 – 1700 daily)
- Parking requirements:
- Must be able to provide minimum of 40 dedicated and reserved parking spaces for conference participants not staying at venue during 7 – 9 February 2022 from 8 AM to 5:30 PM
